mothers2mothers (m2m) is an Africa-based NGO that unlocks the potential of women to eliminate paediatric AIDS and create healthy families across ten sub-Saharan African countries. m2m trains, employs, and helps empower women living with HIV to work as community healthcare workers in understaffed health centres and underserved communities. Through a peer-to-peer approach, these ‘Mentor Mothers’ deliver a range of health services, advice, and support to women and their families. Started in Cape Town, South Africa in 2001 with an initial focus on preventing mother-to-child transmission of HIV, m2m has innovated and built on its strengths and now provides family-centred support for a range of related health and social issues spanning pregnancy, birth, childhood, and adolescence. It also partners with governments and other NGOs on the adoption of its programme to spread the Mentor Mother Model and its benefits. m2m has a track record of scaling its services and proven impact. Job Description

The Project Officer, Country Management Unit (PO CMU) will provide administrative and programmatic support to the Country Management Unit. This includes support for planning, development, implementation, management, and reporting of m2m programmes and projects across all countries.  The incumbent will work closely with all departmental units and country teams to provide administrative assistance on reporting, minute taking for recurring management meetings, special projects, scheduling, copy editing, and the CMU’s role in business development.  The CMO will focus largely on delivering administrative support with opportunities to learn about all of m2m’s programme areas and operations.  This position reports to the Programme Manager, CMU

Key Performance Areas:
Delivery Administrative support to CMU Team 

  • Meeting scheduling and coordination for the two CMU portfolios
  • Minute taking for monthly Resource Review meetings including tracking of deliverables and country report cards
  • Set up and management of CMU SharePoint folder
  • Minute taking for other meetings as assigned
  • Update and distribute the Country Programme Snapshot and Country Support Team Matrix on a quarterly basis
  • Liaise directly with the Country Directors and in-country staff to schedule meetings or coordinate activities on behalf of the CMU  ensuring ongoing communications  in a pro-active approach
  • Annual reviewing and updating of m2m country vehicle manuals and country operations manuals
  • Creation of Purchase Requisitions for purchases within the CMU
  • Support execution of consultancy agreements, reconciliation of expenses, and liquidation of travel expenses
  • Formatting for CMU materials
  • Creation of PowerPoint slide decks for presentations
  • Development and execution of CMU timelines for reports and other deliverables
  • Coordinate and assist with planning of key meetings, including annual country leadership meeting, and event logistics to ensure effective implementation including booking venues, drafting agendas, circulating meeting notes and compiling meeting evaluation

Writing and editing support 

  • Copy-editing of all CMU materials, including donor reports, as well as proposals and budget narratives
  • Writing of concept notes, job descriptions, SOPs, and other items
  • Other writing and editing as assigned

Programme Support 

  • Provide support to special projects including programme development, planning and strategic activities and assist with the  implementation and programme monitoring of specific programme timelines to ensure timely completion of project activities and deliverables of the highest quality
  • Provide CMU and  in-country cross-sectional project support
  • Attend, observe and participate in strategic programmatic meetings with internal and external partners
  • Facilitation of knowledge building and sharing

Ad Hoc 

  • Perform desk research as required
  • Support country and CMU hiring, including supporting HR in interview scheduling and participating in interviews, as applicable
  • Scheduling comprehensive orientation for new teams members
Job Requirements

Qualifications and experience:

  • Bachelor’s degree in a field related to the programme
  • 3-5 years administrative working experience essential
  • Experience in an NGO environment advantageous, (knowledge of, and exposure to, HIV programming; specific knowledge of m2m’s operations and mission is beneficial)
  • Sound understanding of public health and HIV programming
  • Experience with U.S. Government-funded programmes, multilateral and bilateral donors, preferred

Competencies required:

  • Strong administrative, organisational project management, multi-tasking, problem solving, and logistical skills
  • Mastery of MS Office, including Word, Excel, PowerPoint
  • Strong writing and copy-editing skills in English
  • Experience in project management – including developing standard operating procedures, reports, work plans and coordinating cross-organisational processes
  • Demonstrated interest or strong knowledge of issues pertaining to women, families, and HIV/AIDS prevention, care, and treatment
  • Willingness to engage in continuous learning and training
  • Demonstrated professional aptitude
  • Experience in the entire programme life cycle (business development, design, implementation, reporting, etc.)
  • Experience in undertaking desk research and ability to assess and provide strategic information to inform programme development
  • Ability to meet deadlines, prioritise and work well under pressure
  • Accuracy and attention to detail
  • Ability to work as part of a team, across departments and countries, as well as independently
  • Comfort working with all levels of an organization, including senior leadership
  • Ability to carry out a wide variety of key deliverables in a timely manner
  • Excellent interpersonal skills
  • Dynamism, flexibility, cultural sensitivity and creativity
  • Excellent verbal and written English language skills, including experience in compiling analytical reports and presentations; additional indigenous language/s an advantage
